This policy explains what information we collect, how we use it and how to contact us with privacy questions. Effective September 24, 2026.
incatrek.com is run by Inca Trek LLC, a Utah company (1414 S 600 W, Woods Cross, UT 84010), together with Destination Peru E.I.R.L., our licensed operator in Cusco, Peru (Calle Garcilaso 210, Interior 201). When this policy says “we”, it means both. Inca Trek LLC is the company you contract with and pay; Destination Peru E.I.R.L. runs your trek on the ground.

When you write to us. Our forms (planning request, 2027 permit list, travel advisor registration) ask for your name, email, phone if you choose to give it, party size, preferred dates and anything you tell us in the message box. We use it to answer you, quote your trek and keep track of the conversation. Form submissions are emailed to our team and kept in our customer records.
When you book. To buy Inca Trail permits, the Peruvian government requires each hiker’s full name, nationality, date of birth and passport number, and those details must match the passport carried on the trail. We also collect emergency contact details, dietary needs and any health information you choose to share so the guide and cook can look after you. Payment is taken by card or bank transfer; card payments are processed by Stripe, and we never see or store your full card number.
When you visit the site. Like most websites we receive standard technical data: IP address, browser type, pages viewed and the site that referred you. Our forms use Cloudflare Turnstile to block bots, and comments (if you leave one on the blog) are checked by Akismet for spam. The site is served through Cloudflare and cached by WP Rocket; the language switcher is provided by Weglot.
Only the people and companies who need it to deliver your trek: the Peruvian permit authority (SERNANP) and Machu Picchu ticketing, PeruRail (or whichever train operator we book) for your train, Inkaterra and any hotel we book for you, and our own guides and office team in Cusco. Travel advisors who book on your behalf see the details of their own clients’ bookings. We do not sell personal information, and we do not share it with anyone for their own marketing.
We use a small number of service providers to run the business, and they process data on our behalf under their own privacy commitments: Google Workspace (email and files), Zoho CRM (customer records), Stripe (payments), Contact Form 7 on WordPress (forms), Cloudflare, WP Rocket and Weglot (site delivery), and Meta (advertising measurement, below).
We use the Meta Pixel to understand whether our Facebook and Instagram advertising brings people to the site, and to show our ads to people who have visited it. It sets cookies and sends Meta the pages you view and when you submit a form (not what you typed). You can opt out through your Facebook ad settings or by blocking third-party cookies in your browser. We may add Google Analytics or a similar tool in future and will update this page when we do.
Otherwise the site sets only functional cookies: the ones WordPress needs if you log in or comment, the language you chose, and short-lived caching and security cookies from Cloudflare. Embedded content from other sites (a map, a video) behaves as if you had visited that site directly, including its cookies.
Inquiry and quote details are kept while we are talking and for a reasonable time afterwards so we can pick the conversation back up if you return. Booking records, including passport details used for permits, are kept for as long as we need them to run your trek, handle any claim and meet tax and accounting rules in the U.S. and Peru, then deleted. If you ask us to delete your information sooner, we will, unless we are required to keep it.
You can ask us for a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, or tell us to stop sending you marketing at any time. Email incatrek@destinationperu.com and a real person will handle it. If you are in the European Economic Area, the United Kingdom or California, you have additional rights under your local law, and we will honor them.
The site runs over HTTPS. Payment details go straight to Stripe. Access to booking records is limited to the team members who need it. No system is perfect, so if you ever suspect a problem with your information, tell us and we will look into it straight away.
We are happy to take families on the trail, but we collect children’s details only from a parent or guardian as part of a booking, never directly from a child, and we do not market to children.
If we change how we handle your information, we will update this page and the date at the top. This version is effective September 24, 2026.
