Booking Terms — Inca Trek by Destination Peru

These terms apply to the private 5-day Inca Trail with the Inkaterra Machu Picchu Pueblo finish.

1. Price and what’s included

Prices are per guest, in US dollars, for a fully private departure:

  • 2–3 guests: US$3,395
  • 4–8 guests: US$2,995
  • Solo or 9+: quoted individually

The price covers your private trek team, Inca Trail permit, Machu Picchu entry, train, transfers and the night at Inkaterra Machu Picchu Pueblo, as listed in your proposal. International and domestic flights, travel insurance, tips and personal expenses are not included. Inca Trek LLC (USA) is the merchant of record; Destination Peru E.I.R.L. operates the trek in Peru.

2. Deposit, dates and permits

A deposit of US$500 per guest is due at booking and secures your place against the departure dates you have named (your first-choice date and up to two alternates). Inca Trail permits are name-locked and purchased by Inca Trek the day they become available for your dates; once purchased, they cannot be changed, transferred or refunded by the Ministry of Culture. Because of this, your deposit is non-refundable if you cancel, change your party, or change your dates after booking, for any reason, including illness, weather, flight disruption or a change of plans. We recommend travel insurance that covers trip cancellation.

3. If we can’t secure your dates

If Inca Trek is unable to obtain permits for any of your named dates, we will offer you the nearest available departure dates. If none of the dates we offer work for you, you may choose either a full refund of your deposit or a credit for the full deposit amount toward any Inca Trek departure within the following 24 months. Deposits are held in full until permits are purchased and are never used for any other purpose.

4. Final payment

The balance is due 60 days before your trek start date. We send a reminder about two weeks before it’s due. If the balance isn’t received by the due date, we may cancel the booking, and Section 5 applies.

Booking within 60 days of travel: the full trip price is due at booking, and only if permits for your dates are still available.

5. If you cancel

Cancellations must be made in writing to incatrek@destinationperu.com.

  • Before permits are bought: you lose your deposit (US$500 per guest).
  • After permits are bought, more than 60 days before travel: you lose your deposit, plus any other non-refundable supplier costs we have already paid for you (for example hotel or train).
  • 60 days or less before travel: 100% of the trip price.

Permits are issued in each guest’s name and passport number. They cannot be refunded, resold or transferred to another person or date. If one guest in a party cancels, the per-guest price for the remaining guests follows the party-size tiers in Section 1.

6. Changes, insurance and safety

  • Date changes after permits are bought: not possible. New dates mean new permits at your cost, subject to availability.
  • Name or passport changes: permits can’t be changed. Please check every detail before release day.
  • Travel insurance is strongly recommended for every guest, including trip cancellation and medical evacuation cover. Because deposits and permits are non-refundable, insurance is the best way to protect your trip.
  • Participation waiver: every guest signs our waiver before the trek. No doctor’s clearance is required, but please tell us about any medical condition that affects hiking at altitude.
  • Itinerary changes by us: weather, trail closures, government decisions or safety may require us to change campsites, timings or services. We will always replace them with something of equal standard. We are not responsible for costs caused by events outside our control, such as flight delays, strikes or natural events.
  • Payments are taken in US dollars by card or bank transfer. No card surcharge.
